Salary: Circa £40,000 per annum, negotiable

A fantastic opportunity has arisen for a Legal Executive Assistant to join the Executive Office team of a well-established and forward-thinking organisation at their state-of-the-art headquarters in Solihull. This is a varied and fast-paced role, working closely with the in-house Legal Counsel while also supporting the Executive Office and Finance team.
We’re looking for a proactive and detail-focused individual who thrives on organisation and accuracy, with strong experience in legal administration. The successful candidate will take ownership of providing high-level support across a wide range of legal and clerical tasks, from document preparation and inbox management through to research, meeting coordination, and general office support.

Duties include:

  • Providing proactive personal assistance to Legal Counsel including extensive inbox management, transcription and audio dictation, and arranging travel and accommodation.
  • Preparing, formatting, amending and proof-reading a variety of legal documents, including contracts, agreements, wills and powers of attorney.
  • Conducting research to gather case law, statutory references and factual information in support of legal matters.
  • Acting as the first point of contact for legal queries across the organisation, using initiative to respond on behalf of Legal Counsel where appropriate.
  • Scheduling meetings, producing agendas and recording accurate minutes.
  • Managing day-to-day office operations including calls, emails, mail, expenses, filing, booking meeting rooms, hospitality and maintaining supplies.
  • Providing ad-hoc administrative support to the Executive Office and Finance team, along with occasional reception cover.
  • Contributing positively to the culture of a professional, collaborative and supportive workplace.

Skills and experience required:

  • Proven background in legal administration, ideally supporting solicitors, legal counsel, or senior executives in a legal environment.
  • Strong attention to detail with experience in document management, formatting, track changes and version control.
  • Excellent typing and IT skills, with proficiency in Microsoft 365 applications including Outlook, Word, Excel, PowerPoint and Teams.
  • Experience of minute-taking, transcription and audio dictation.
  • Highly organised, able to manage multiple priorities and deadlines in a fast-paced environment.
  • Professional written and verbal communication skills, with the confidence to interact with colleagues, stakeholders and external parties.
  • Discreet and professional, with the ability to handle confidential information appropriately.
  • Team player with a proactive and positive approach.
